Job Description

Position Title : Transaction Coordinator 

Location: Houston, TX 

Assignment Type: Direct Hire

Compensation : $65,000-75,000 

Work Schedul e: Monday–Friday, 8-5 pm

Benefits: This position is eligible for medical, dental, vision, and 401(k). 

Transaction Management & Closing Support

  • Oversee commercial real estate transactions from contract execution through final close
  • Monitor key deadlines, contingencies, and critical milestones to ensure timely progress
  • Track completion of all due diligence requirements and closing conditions
  • Compile, review, and distribute transaction progress updates to internal stakeholders
  • Ensure all required transaction documentation is accurate, complete, and delivered on schedule

Title, Escrow & Closing Coordination

  • Initiate and manage title orders, updates, and policy issuance
  • Review title reports and exception schedules, coordinating resolution of objections as needed
  • Arrange and track delivery of surveys, zoning materials, and recorded documents
  • Coordinate execution, collection, and return of closing documents and escrow instructions
  • Confirm receipt and handling of earnest money deposits
  • Support preparation and review of settlement statements and closing disclosures
  • Verify entity documentation, authority confirmations, and execution requirements
  • Confirm all closing deliverables are received prior to funding and recording

Communication & Coordination

  • Act as the primary point of contact among transaction parties throughout the closing process
  • Schedule signings, closing calls, and coordination meetings
  • Proactively communicate transaction status, risks, and outstanding items
  • Identify and escalate issues that could impact transaction timelines

Due Diligence & Document Control

  • Coordinate due diligence materials, including but not limited to:
    • Title and survey documentation
    • Property condition and inspection reports
    • Financial records and lease information
    • Insurance and entity‑related documents
  • Maintain organized digital transaction files and detailed document logs
  • Ensure adherence to regulatory, lender, and internal documentation standards
  • Track outstanding items needed for closing readiness

Administrative & Operational Support

  • Maintain transaction checklists and workflow tracking tools (project management platforms or similar systems)
  • Coordinate commission documentation and closing packages
  • Assist with preparation and management of listing and contract documentation
  • Support reporting related to transaction pipeline and closing activity

Qualifications

  • Minimum of 2 years’ experience in commercial real estate, transaction coordination, title, escrow, or closing operations
  • Working knowledge of commercial real estate contracts and closing processes
  • Strong understanding of title, escrow, and closing workflows
  • Exceptional organizational skills with strong attention to detail
  • Ability to manage multiple transactions simultaneously in a fast‑paced environment
  • Excellent communication and problem‑solving skills
  • Proficiency in Microsoft Word, Excel, and Outlook

Preferred Experience

  • Direct experience working with title, escrow, or closing teams
  • Exposure to various commercial real estate transaction types, including:
    • Investment sales
    • Leasing transactions
    • Development and land deals
  • Active real estate license preferred, but not required
